EMPLOYMENT PHILOSOPHY Work-Study is designed to provide financial assistance in the form of part-time employment on campus. Students employed through work-study programs work a specified number of hours per week.
It is clearly understood that academic schedules and programs must take precedence over employment opportunities. However, each student accepting part-time employment also accepts the responsibility to work the number of hours, perform the duties assigned, and is expected to coordinate class schedules and work schedules with the supervisor.
Once the work schedule has been established to the mutual satisfaction of the supervisor and the student employee, the student is expected to make every reasonable effort to meet those schedules. It is also understood that these are employment opportunities. The student employee is paid only for hours actually worked and the college has no obligation to continue the employment of students who fail to meet work schedules or live up to expected performance standards.
Students must realize that work-study is a work experience and must give an hour's work for an hour's pay.

Application Procedure for a Work-Study Award A student interested in obtaining work-study should complete a "Student Request for Work-Study" form available in the Financial Aid Office. To receive work-study, the student must be enrolled in an eligible certificate or degree program at least half-time (6 credits).
No-Need Work-Study Students who are interested in obtaining a work-study position, but are not eligible for need-based funds, may be eligible for no-need work-study. Students must demonstrate no financial need via regular financial aid application procedures.

Work-Study Position Availability The student should consult the glass case bulletin board in the Academic Building (located in the hallway outside of the Financial Aid Office College Center Room 216) select a posted position, make an appointment with the supervisor, and apply for the position. Students are hired on the basis of their individual qualifications and skills. Many employers will train students on the job.
If agreement is reached for employment, prior to the first day of work, a completed "Student Work-Study Employment Contract" must be on file in the Financial Aid Office. See the Employment Contract Section.

Work-Study (Award Description)
Eligibility Requirements
The student must be a U.S. citizen or U.S. national or U.S. permanent resident and have an I-151 or I-551 (Alien Registration Receipt Card) or be a permanent resident of the Trust Territory of the Pacific Islands.
The student must be a current PCC student enrolled in an eligible program and enrolled in at least 6 credit hours.
The student must be registered with the Selective Service.
The students must agree to a background check.
Priority for work-study awards is given to full-time students.

Federal Work-Study

Colorado Work-Study
- Demonstrate financial need

- Must meet eligibility requirements for work-study.
Funding is provided by the Colorado Legislature, and distributed through the Colorado Commission on Higher Education.

Colorado No-Need Work-Study
- Demonstrate no financial need via regular financial aid application procedures
- Limited to Colorado residents
- Thirty percent of the initial allocation for Colorado work-study may be used to provide employment to students without financial need.
Off-Campus Work-Study Positions There are some positions that will be located off-campus that will involve working with various community service agencies or local elementary schools as an Elementary School Tutor. The policies and procedures outlined in this brochure apply equally to off-campus positions. In addition, students filling these off-campus positions are required to provide their own transportation to and from the work site and agree to a background check. These jobs may have other criteria for qualified candidates. If you are interested in more information regarding working in these areas, please contact the Financial Aid Office.

Amount of Award Most work-study positions are twenty (20) hours per week. The work-study employment contract will indicate how many hours a week a student is expected to work. During vacation periods, continuing students may be employed for 20 hours per week. Any employment during vacation periods must be approved by the Financial Aid Office, the student, and the supervisor.
Work-Study Wages Starting pay for all on campus work-study students will start at $6.85 per hour. All off Campus work-study postions will start at $7.00 per hour.

Payment of Wages Payment of work-study wages is made every other Friday. Time sheets must be signed by the student and his/her supervisor.
Employment Contract Once the Financial Aid Office has approved the student to fill a position, per the supervisor’s request, a Work-Study Employment Contract must be obtained by the student from his/her supervisor. The student will need to review and sign the employment contact then present it to the supervisor and then to the Human Resources Office for their review and signatures. Copies will be provided to the student, the supervisor, and the Personnel Office. The completed original employment contract must be returned to the Financial Aid Office for the final signature. Copies will be provided to the student upon completion.
The employment contract will state the period of time that the student may work, the maximum number of hours per week that may be worked by the student, the hourly rate of pay, and the total amount of money that the student may earn. Any variance to the terms of the contract must be approved by the Office of Financial Aid.

Staff Dependents Dependents of faculty and staff will have the same rights and privileges as all other students except that no such student employed by the college may be employed in the same department as the parent or spouse. Exceptions to this policy may be made by the Director of Student Financial Aid.

Responsibility of Students Receiving Work-Study Awards The student and the supervisor must adhere to the terms of employment as stated on the "Work-Study Employment Contract." The student will receive a copy of the work-study contract.
By acceptance of the work-study position, the student must adhere to the following standards:
- Punctuality
- Confidentiality
- Positive working attitude
- Contribution to work-study position (dept., etc.)
- Regular attendance
- Professional Appearance
- In case of change of assignment or award, the supervisor must be informed, by the student, of the student's transfer out of the department.
- The student must work the established standard work schedule. If a student employee is unable to work the schedule arranged, it is the student's responsibility to notify his/her immediate supervisor. This notification should be made prior to the intended absence.
- As hourly employees, work-study students cannot be paid for hours not worked due to illness, school closure, etc.
- The student must sign in and out according to the policy of each departement.
- The student is not allowed to exceed the maximum hours awarded on the work-study contract.
- The student must abide by all established institutional and office policies and procedures.
- To maintain a work-study position the student must:
- Maintain enrollment as a half-time student(6 or more credit hours).
- Satisfactorily perform the duties and obligations of the position.
- Maintain satisfactory academic progress as defined by the Financial Aid Office. Probationary status may be grounds for the reduction or elimination of a work-study award.

Summer Employment Students may be employed during periods of actual enrollment and some vacation periods between consecutive terms of enrollment. Work-study may be used to maintain an employment program between the end of Spring term and the beginning of the Fall term of a traditional academic year.
Summer employment under the work-study program is subject to the availability of funds and limited to those students who meet the following qualifications:
- Students enrolled in classes during the Summer session must be enrolled six credit hours or more over a ten week period to be eligible for work-study.
- Plan to return to Pueblo Community College as at least a half-time student during the upcoming academic year.
Responsibilities of Supervisors of Work-Study Students Work-study can be a valuable learning experience for the college student as well as a preparation for his/her future in the work world. The supervisor that is concerned for the welfare of the student can make the job a meaningful experience.
- Faculty and staff desiring work-study students should submit a "Faculty and Staff Request for Work-Study" form to the Financial Aid Office for approval. These requests will then be reviewed for approval for placement on the bulletin board.
- Supervisor will interview applicants and then contact the Financial Aid Office to request that the student be allowed to fill the available position. The Financial Aid Office will notify the supervisor if the student is approved and awarded work-study.
- The supervisor should then have the student begin the Work-Study Employment Contract process.
- An orientation must be provided for the student by the supervisor to include all rules and regulations pertinent to the individual department including the PCC Software Policy and Family Educational Rights to Privacy Act (FERPA). Supervisors are expected to train and supervise work-study employees.
- Supervisors must establish a standard work schedule with each student and monitor the hours worked to insure that the hours are reported correctly on the time sheet.
- Supervisors must develop and keep a work-study departmental bi-weekly sign-in/sign-out log sheet for audit purposes.
- Supervisors must complete, check, and be sure that bi-weekly time sheet(s) are submitted by 12:00 p.m. on the established pay period date. Both the student and the supervisor must sign each time sheet.
- Work-study evaluations must be submitted to the Financial Aid Office at least once a semester or each time a student transfers before the end of a semester. The students must sign and receive a copy of their evaluations.

Termination of Student Employees
Reasons for Termination
By Employer:
Unsatisfactory work.
Lack of funds to subsidize the position.
Conflict of class and work schedule.
Failed to report for work without calling in.
Irresponsible.
Falsifying hours worked.
By Employee:
- The student may transfer once, if another position is available and the previous supervisor is notified by the employee. The Financial Aid Office will authorize one transfer upon request by the student. This office recognizes that for many PCC students this is the student’s first job experience, and the student may have a multitude of reasons for requesting a transfer. The Financial Aid Office will honor this and explain to the student that any subsequent requests will be carefully reviewed before approval.
- The student becomes aware of a new job that offers better, more applicable job experience to their career alternative
- Conflict of class and work schedule
- Conflict with supervisor

Procedure for Termination
By Employer:
- First Offense - Must counsel student in an effort to correct the situation and document this.
- Second Offense - The supervisor must decide whether or not a counseling session between employer and employee is required or if the employee should be referred to the Director of Financial Aid.

Alternatives
- Probationary period - The student is given another chance and the supervisor is asked to closely monitor the student for at least one month or no longer than the completion of the semester. At that point, a memo from the supervisor to the Director of Student Financial Aid documenting improvement may negate the complaint. If there is no improvement a written request must be submitted to the Director of Financial Aid to transfer the student.
- Immediate transfer - If the student and the supervisor are unable to resolve differences, and the Financial Aid Director decides that a transfer to another department is the best solution, the transfer and the reason will be a matter of record.
- The Director of Financial Aid may recommend that the student be dropped from the Work-Study Program if allegations are of a serious enough nature and found to be accurate such as:
- Falsifying hours worked (includes studying on the job)
- Physical violence
- Insubordination, etc.
- If the student is not at fault and a problem exists between employee and employer, the Director will point this out and offer three options.
- The student and supervisor recognize the problem and work it out.
- The Director will transfer the student to another department in an effort to facilitate the student in his/her working condition with no negative reflection on the student.
- The Director will suggest to the Dean or Department Chair that the student and immediate supervisor be separated by giving the student another supervisor within the department.
